Privacy Policy

Simplifi AI (“we”, “us”) helps organisations get clarity on AI — through assessments, build-and-hand-over projects, and an AI operating system. This policy explains what personal information we collect, why, how long we keep it, and what you can ask us to do about it.

We are based in George, South Africa, and this policy is written to meet the Protection of Personal Information Act, 2013 (POPIA). Where you are in the UK or the European Economic Area, we also apply the UK GDPR and EU GDPR.

1. The interactive demo

Our demo lets you ask questions in plain English against a synthetic dataset. The factory in the demo is not real, and no client data is involved.

What we collect, and when

Before you give us anything — you can ask a small number of questions with no sign-up. During that time we store:

When you choose to continue past the free questions, we ask for your email address, and optionally your name and the organisation you work for. Only the email address is required — the other two are yours to leave blank, and leaving them blank changes nothing about what you can do here. We record whichever you give us, together with the date and time you gave consent.

We do not ask for a phone number.

Why we may contact you, and on what basis

If you give us your email address, we may contact you about Simplifi AI’s services — for example to ask how you found the demo, or whether an AI assessment would be useful for your organisation.

Our lawful basis is your consent, given by ticking the box on the form. You can withdraw it at any time (see section 5) and we will stop. We do not run a newsletter, we do not sell or rent your details, and we do not share them with anyone for their own marketing.

We do not verify email addresses. Anyone can type any address into the form, so please don’t enter someone else’s. Because of this, we never treat a repeat address as proof of identity: entering an address that has been used before will not give you access to anyone else’s conversation.

Who else sees your questions

Your questions, and the conversation context needed to answer them, are sent to OpenAI, whose models generate the answers. This is unavoidable — it is how the assistant works. OpenAI processes this as our service provider under their data processing terms and does not use it to train their models. Please do not enter confidential information into the demo; it is a demonstration against synthetic data and does not need any real information from you.

How long we keep it

2. Contacting us directly

If you email, WhatsApp, or book a call, we keep the correspondence and the contact details in it so we can respond and maintain the business relationship. We keep this while it is useful for that relationship and delete it when it stops being so.

3. Client engagements

Where we deliver an assessment or a build, any personal information we encounter in a client’s own systems is processed on that client’s instructions — they are the responsible party and we are the operator. Those terms live in the engagement contract, not this policy.

4. Where your information is stored

Our demo runs on servers in the European Union — the application in Finland, the database in Germany — and OpenAI processes your questions in the United States. Your information therefore leaves South Africa.

Everyone who handles it on our behalf, and what each one does:

We rely on section 72 of POPIA: Finland and Germany are European Union member states subject to the GDPR, which provides protection substantially similar to POPIA, and our agreements with these providers bind them to comparable standards. By using the demo and providing your email address, you also consent to this transfer.

5. Your rights

You can ask us to:

Email gerhard@simplifiai.io and we will action it. There is no charge, and we will not ask you to justify the request. We aim to respond within 30 days.

If you are unhappy with how we have handled your information, you may complain to the Information Regulator (South Africa), or — if you are in the UK or EEA — to your local data protection authority.

6. Security

Traffic is encrypted in transit (HTTPS). The database is not publicly reachable. IP addresses are stored only as salted hashes. Access is limited to Simplifi AI. No system is perfectly secure, but we hold only what we need and delete it on the schedule above.

7. Cookies and analytics

On the demo

The demo sets one cookie: a signed session identifier that keeps your conversation attached to you. It is strictly necessary for the demo to function and is not used for advertising or cross-site tracking. The demo runs no analytics.

On this website

This site uses two measurement tools, to understand which pages are useful:

You can opt out of Google Analytics across every site that uses it with Google’s browser add-on, or by blocking cookies for this site in your browser. The site works normally either way.

Fonts are served from our own domain. The typeface is downloaded and bundled at build time rather than loaded from Google Fonts, so visiting this site sends no request to a font host and Google learns nothing about you from it.

8. Children

Our services are for organisations. We do not knowingly collect information from anyone under 18.

9. Changes

If we change this policy we will update the effective date above. Material changes affecting people who have given us their email will be communicated directly.
